Committee Position Descriptions
- Printing Coordinator (1-2 volunteers): Coordinates all aspects of the major printing pieces including the following: save the date card, conference information and registration form, conference binder, Crystal Awards event program, Crystal Awards invitation and other event signage.
- Marketing/PR Coordinator (1 volunteer): Coordinates and oversees all event promotions including press releases, newspaper ads, radio announcements, email blasts (in coordination with WVDO staff), and other necessary PR. Works with Conference Chairs in editing and overseeing text for all promotional materials.
- Website Coordinator (1 volunteer): Works closely with WVDO staff and Board to keep the latest event information on the WVDO website.
- Logistics Coordinator (1 volunteer): Coordinates all aspects of meals, dining room, conference rooms, and registration logistics. Duties will include working with the appropriate committee members and Conference Chairs to arrange all aspects of event catering, set-up, and AV needs.
- Hospitality/Networking Coordinator (1-2 volunteers): Oversees and coordinates all aspects of registrant hospitality, share table, and evening networking event. Duties include obtaining information on local restaurants, room accommodations, and things to do for out of town registrants for hospitality table; obtain and encourage registrants to bring newsletters and other samples from their organizations to share with registrants on the share table. Organize Thursday evening networking event for registrants.
- Volunteer/Registration Coordinator (1 volunteer): Coordinate volunteers and registration for the day of event. Duties include identifying volunteer needs for the day of events (with the help of Conference Chairs), recruiting volunteers and confirming those volunteer’s participation. This position will also facilitate the day of event registration procedure, including managing the volunteers.
- Program Coordinators (2 volunteers): Works closely with Conference Advisory Committee and Chairs to determine workshop topics and speakers. Serves as a liaison with speakers for AV needs, accommodations, etc. Oversees all logistics and details of keynote address and round table discussions.
- Exhibitor/Sponsor Display Coordinator (1 volunteer): With the help of the WVDO Board and Conference Chairs, helps with exhibitor recruitment. Serves as the exhibitor and sponsor liaison and coordinates the set up and display of vendor/sponsor tables. Duties include working with chairs, vendors, and conference site to achieve a highly visible but aesthetically suitable environment for vendors and sponsors to show their “stuff”.
